Refund and Returns Policy

Introduction: At Backroad Gatherings LLC, we are committed to providing high-quality event rental equipment and a seamless service experience for your special occasions in Southern Utah. We understand that planning an event can have unexpected changes, and we aim to be transparent and fair with our policies. Please review the following information regarding refunds and returns for our rental services.


1. Rental Agreement & Acceptance of Terms By confirming a booking and providing your electronic signature on our Equipment Rental Agreement, you acknowledge and agree to all terms and conditions, including our pricing, cancellation policy, and responsibilities regarding the rented equipment. The Rental Agreement is the governing document for all bookings.


2. Our All-Inclusive Rental Package Backroad Gatherings offers a comprehensive “Signature Event Package” that includes a set quantity of tables, chairs, linens, and garbage bins, along with delivery and optional setup/takedown services. The package is priced for the availability and use of all included items for the specified rental period.

  • No Partial Refunds for Unused Items: We do not offer partial refunds if you choose not to use all items included in your package (e.g., fewer chairs or tables than provided). The package price remains the same regardless of the quantity of items actually utilized by the Client.

3. Cancellation Policy (How Refunds Are Issued) Refunds related to booking cancellations are governed by our Cancellation Policy as detailed in your Rental Agreement and on our website. Please refer to those sections for specific terms regarding:

  • Full Refund: Client may cancel this Agreement and receive a full refund of all payments, including the Security Deposit, if cancellation is made 30 (thirty) days or more prior to the Event Date.
  • Partial Refund/Fee:
    • Cancellations made between 10 and 29 days prior to the Event Date will result in a forfeiture of the Security Deposit.
    • Cancellations made less than 10 days prior to the Event Date will result in forfeiture of the Security Deposit plus $100.
  • No Refund: No refunds will be issued for cancellations made day before, day of, or after the Delivery Date.

4. Equipment Condition & Damage Deposit Returns Your refundable Security/Damage Deposit of $200.00 is held to ensure the proper care and return of our rental equipment.

  • Return Condition: All rental items are expected to be returned in the same condition as received, allowing for normal wear and tear.
  • Deposit Refund: The full deposit will be refunded within 5 business days after the event, provided all items are returned undamaged, accounted for, and do not require excessive cleaning.
  • Deductions: Deductions from the deposit may occur for:
    • Damage to equipment (beyond normal wear and tear)
    • Lost or missing items
    • Excessive cleaning required for linens or other items
    • Late returns
    • Any deductions will be itemized and communicated to you.

5. Issues Upon Delivery We meticulously inspect and prepare all rental items before delivery. In the unlikely event that you discover any issues, damage, or discrepancies with your rental equipment upon delivery, you must:

  • Report Immediately: Notify Backroad Gatherings LLC immediately upon delivery, before the event begins, by calling (435) 227-5514 or emailing [email protected].
  • Documentation: Provide photographic evidence of any issues.
  • Resolution: We will work promptly to address any valid concerns, which may include replacing the item if available, or discussing appropriate adjustments. Failure to report issues upon delivery may limit our ability to provide a resolution.

6. No Refunds for Services Rendered Once the rental equipment has been delivered to your event location, the rental service is considered rendered. No refunds will be issued for the rental period itself, or for any delivery, setup, or takedown services that have been completed, regardless of whether the equipment was fully utilized or if the event was shortened or cancelled after delivery.
